Events Team at ACM BPHC
The events team handles all the offline and ground work in BPHC, turning ACM BPHC’s plans into smooth, on-campus experiences through meticulous logistical and on‑ground execution.
Core Responsibility
The events team is the backbone of every offline ACM BPHC workshop, talk, hackathon, and competition on campus, ensuring that what is announced online actually happens seamlessly in person. It coordinates with other ACM domains and campus bodies so that technical content, publicity, and logistics stay tightly aligned during each event.
Planning and Logistics
- Securing appropriate venues (LTC rooms, classrooms, auditoriums) and aligning slots with the institute timetable and other campus events.
- Managing permissions, equipment requests, and basic resource planning so that seating, power, and AV needs are covered before the event day.
On‑ground Execution
- Handling registrations and on‑spot queries, guiding participants to the right rooms, and maintaining basic decorum during sessions, workshops, and hackathons.
- Coordinating speaker/guest handling on the day of the event, including reception, navigation on campus, and ensuring sessions start and end on time.
Coordination with Other Domains
- Working with the web and content teams so that details on the ACM website and announcements match the actual ground‑level schedule and flow.
- Supporting design, PR, and technical domains by translating their plans into concrete on‑ground requirements like poster placement, stall setups, or demo spaces.
Community and Culture
- Ensuring ACM’s offline presence at orientations, tech weeks, and major campus fests, helping build a visible and consistent chapter identity in BPHC.
- Creating a welcoming environment for participants new to computing events, so that ACM BPHC stays approachable and community‑driven beyond just online platforms.
